Cancellation Policy

Overview

Maple AI operates on a monthly subscription basis. You may cancel at any time. We require thirty (30) days’ written notice before cancellation takes effect. Cancellation will be effective at the end of the billing period that is at least thirty (30) days after Maple AI receives valid notice (the “Cancellation Effective Date”).

How to Cancel

Email founder@mapleaiagency.com with the subject line: “Cancellation Request — [Your Practice Name]”

Include your practice name, the email address on your account, and your intended final service date.

We will confirm receipt within two (2) business days and initiate your 30-day notice period.

Your AI receptionist will remain active through your Cancellation Effective Date. Service terminates on the confirmed final date.

Legal Notices. For formal legal notices relating to cancellation or termination, written notice must be sent to: legal@mapleaiagency.com.

Refund Policy

No refunds are issued for monthly subscription fees already paid, including any unused portion of the current billing period. If you have elected annual billing, early termination does not entitle you to any refund or credit for unused months, except as required by applicable law.

Setup fees are non-refundable once Maple AI has begun any onboarding, configuration, integration work, or other implementation activities for the Client (including allocating resources and creating or modifying workflows, scripts, or integrations).

We do not offer prorated refunds. Your subscription continues until your Cancellation Effective Date, and you will not be billed beyond that date.

What Happens After Cancellation

Your AI receptionist is deactivated on the Cancellation Effective Date
Your dedicated phone number is released from our system
Upon written request received within thirty (30) days after the Cancellation Effective Date, Maple AI will provide a data export of your data in a standard format selected by Maple AI (e.g., CSV and/or audio file links), subject to your account being current on all fees. Additional export requests, custom formats, or data transformation/migration assistance may be provided at Maple AI’s then-current professional services rates.
Client data is securely deleted or anonymized within thirty (30) days after the Cancellation Effective Date, except as required by applicable law, needed to establish, exercise, or defend legal claims, required for security and fraud prevention, or as necessary to comply with breach record-keeping obligations. Residual copies may persist for a limited period in encrypted backups.

Cancellation by Maple AI

Maple AI may suspend the Service immediately and/or terminate your access upon written notice in cases of:

Non-payment — fees overdue by fifteen (15) or more days after written notice
Breach of our Terms of Service
Use of the Service for any unlawful purpose

Additional Suspension Rights. Maple AI may also suspend or limit access to the Service (in whole or in part) immediately if Maple AI reasonably believes that (a) the Service is being used in a manner that poses a security risk, (b) continued provision is prohibited by law, or (c) suspension is necessary to protect Maple AI, clients, patients, or third parties. Maple AI will use commercially reasonable efforts to provide notice where practicable.

Governing Law

This Cancellation Policy is governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, and forms part of your agreement with Maple AI. In the event of any conflict between this policy and the Terms of Service or Master Service Agreement, the Terms of Service or Master Service Agreement will govern.
